Sending the Timesheet as a PDF: A great way to send the completed timesheet to your manager (besides printing) is to first save as a PDF and then email the PDF. You can create a PDF with Excel by going to Save As and choosing PDF from the list of file types.

Customizing the Timesheet
[h]:mm vs. Decimal Formats: Each of the templates contains a separate worksheet tab for entering times using either h:mm or decimal format.
The h:mm time format is the simple for the employee to use because most people think of time in hours and minutes. If you allow employees to enter times rounded to the minute or 5 minutes, use the h:mm format.
The decimal hour format works fine if you are rounding to the nearest 15 minutes. For example, 30 minutes is entered as 0.5, 15 minutes is entered as 0.25, and 45 minutes is entered as 0.75.
Update Company Information: After deciding what time format to use, update the Company information, and customize the timesheet as needed. If you don't need the signature lines, you can delete those rows.
Overtime Hours: You can assign a separate pay rate for regular hours and overtime hours. You may want to add custom notes to the timesheet to explain policies for overtime, vacation, etc. You could do this by adding notes to the column labels, or putting the information into the sidebar.
Optional Rate & Pay Information: If you only need to keep track of hours, or if you are using printed blank timesheets, you can delete the rows that contain the rate and pay information.
Ink-Friendly Design: If you are concerned about using too much colored ink when printing timesheets regularly, you can remove the background colors and change font colors to black.
Printed vs electronic methods for time tracking
You can easily print this timesheet for employees to fill out by hand, but it can also be used as an electronic timesheet. An electronic timesheet is a time tracking solution that uses software to track and report time. If card-swipe time clocks are not used, an employee might log into a website to enter their time.
The main advantages of using an electronic or online solution for time tracking are: 1) timesheets can be easily accessed by both the employer and employee, 2) the electronic timesheet handles all the time and pay calculations, 3) employees may work remotely, 4) the payroll process is streamlined.
How to use the Timesheet Template as an Online Solution
- Place the timesheet template in a privately shared network location (Google Drive, OneDrive, DropBox, SharePoint, etc.)
- Share the file with your employee (Share files on Google Drive, Share files on OneDrive)
- Have your employee update the spreadsheet throughout the week
- Save a printed and/or electronic copy of completed time sheets
Note: It is a violation of copyright to share the template publicly or to add a copy to a public template gallery, but sharing it with an employee is allowed.
For Employers/Managers: The system you use to report and record the hours is up to you. It could involve printing a copy of the spreadsheet or having the employee export a copy of the completed document and email it to you. Or, you could simply log into Google Sheets, look at the completed documents, and record the hours in your payroll spreadsheet. The procedure I use is to save a copy (exported to an Excel file that I save on my computer), and then clear out the hours and update the date in the Week Of field. That is the signal to the employee that the document is ready to be updated for the next pay period.

Customize Settings
There is a lot to customize. Change the number of days per week and the number of weeks in the free time card calculator. Adjust the lunch break settings. Add or modify the overtime hours and specify the overtime rate. And that’s not all, adjust the sickness and vacation leaves as well. Hold your breath, there are more options…
You can also:- Select the way days are numbered/named (1, 2, 3 or Mon, Tue, Wed)
- Change the way time is displayed (military time, decimal time etc.)
- Add unpaid lunch breaks (deduct break minutes from the working timesheet)
- Modify the overtime settings according to the day or week (after 8 hrs/day or 40 hrs/week)
Please note: Customization in the time card calculator will remove any data that is entered prior to the changes, so it’s best to first make customizations and then enter the data.
Customization charges: Nothing! It’s available for free. Make the changes you want. However, you do need to register before you can make changes and save them.
Enter Data
The free time card calculator is pretty self-explanatory. However, if you need help, follow these steps:
Panel 1: Enter Time- Week of: Enter the beginning and ending dates of the current week.
- In: Enter the time at which you signed in.
- Out: Enter the time at which you signed out.
- There are seven entries by default. You can change the number of days from the customization panel on the right.
An example:
Let’s say you work in an office and want to keep track of your hours to so your employer can pay the correct amount due. You work 5 days a week, so you need to go to the customization panel on the right side. Under the days and weeks tab, click on the drop down that says Days per Work Week, and select 5 days/week. Make sure you have made all customization changes before entering any data.
You take one lunch break, so you will make the appropriate changes under the lunch break tab. Your overtime hours begin after 40 hours/week and you specify that under the overtime tab. You adjust the overtime rates accordingly.
Once the customizations are done, you’ll start entering your in and out timings for the 5 days. That’s done, and now it’s time to see the results.

Panel 2: See your totals
There is a note box in the timecard calculator where you can enter specific notes about the timesheet. As you entered the data in the previous step, you would notice the changes in the grand total field. Enter your hourly rate and click on Calculate. The calculator will display your total pay. You can click on Clear All to clear all the fields. Click on Print to take a hard copy of the timesheet. You can also email the timesheet to your inbox, download to the hard disk, or just save it for later use.

Example:
As you entered the hours, the grand total hours change to reflect the time worked. Let’s say your hourly rate is $20- you can enter that in the hourly rate box and then click on Calculate. The total pay is displayed and that’s the amount you should be paid. You need to save a copy of this, so you click on the Print button and get a printout. You then mail a copy to yourself by clicking on the Email button.
My Account:
You will notice a My Account button on the top of the page. It will display the timesheets that you have saved in your account. All your saved hours, customizations, and employee time cards are saved there for later referencing. It’s that easy!
